How WigWag handles account information, team activity, device signals, and optional Apple Watch heart-rate sharing.

Who we are

This policy covers the WigWag iPhone and Apple Watch apps and the WigWag website. WigWag, based in United States, operates WigWag and is responsible for the information described here. References to “we,” “us,” and “our” mean that operator.

WigWag helps coaches send pitch calls and review baseball and softball sessions. It is not a medical service. This policy explains both information you provide and information generated when the service is used.

Information we collect

Account information
Your email address, account identifier, and any name or profile image supplied through sign-in. Our authentication provider processes credentials and sign-in information. WigWag’s application database does not store your sign-in password.
Team and game information
Team names, memberships, roles, invitations, receiver names or labels, pitch sets, pitch calls, locations within the strike zone, timestamps, and session history. Coaches may enter opponents, hitter names or jersey numbers, handedness, batting orders, notes, pitch results, and pitcher labels. A pitch “location” is a position on the pitch grid, not GPS location.
Device and delivery information
Device identifiers, notification tokens, watch identifiers, pairing and connectivity status, battery level, notification permission status, delivery timestamps, latency, and delivery errors. This helps route calls and show whether a receiver is connected.
Optional health information
Recent watch heart-rate readings, measurement timestamps, and identifiers for those readings, only when the player enables sharing and grants the relevant Apple Health permission. See the next section.
Support and technical records
Messages and attachments you choose to send us, plus the information needed to respond. Hosting, authentication, and infrastructure providers may process IP addresses, request times, browser/device information, and security or error logs when delivering the service.
Website preferences
The website stores your light/dark theme preference in your browser. Its pitch-call preview runs locally and does not create an app session. The current website has no advertising pixels or third-party analytics scripts.

Apple Watch and health data

Heart-rate sharing is optional and separate from receiving pitch calls. When you enable it for a session and grant permission, WigWag reads recent heart-rate samples from the watch, relays them through the paired iPhone to our backend, and shows them to authorized owners and coaches of your team.

The display includes current readings and a short trend. It does not diagnose a condition, determine fatigue, or decide whether someone is fit to play. Coaches should not use it to make medical decisions.

You can turn off “Share heart rate” in the receiver screen, leave the session, or revoke WigWag’s access in Apple’s Health/privacy settings. Disabling sharing clears the active sample buffer when the change reaches the service. Sharing also expires automatically; see retention below.

The watch app also uses a HealthKit workout session during live play to keep calls available on the wrist. This runtime permission is separate from optional heart-rate reading. WigWag does not save workouts or write health samples to your Health store.

We do not sell health data or use it for advertising, marketing, data brokerage, or unrelated profiling. We use it only to provide the sharing feature you select. Enabling it does not authorize a coach to redistribute your health information.

How we use information

  • Create and secure accounts, verify access, and manage team invitations and roles.
  • Deliver pitch calls, show connection and delivery status, and help troubleshoot failures.
  • Save pitch sets, session history, charting records, and reports, including coach-requested exports.
  • Provide optional heart-rate sharing to the team coaches you choose to share with.
  • Answer support requests, prevent misuse, maintain the service, and meet applicable legal obligations.

We do not sell personal information or share it for cross-company targeted advertising. WigWag does not use health information for advertising or to train a general-purpose AI model.

Who receives information

Your team. Information is available according to team and session permissions. Coaches can see receiver names, connection status, and delivery information. Authorized team owners and coaches can see optional heart-rate readings while sharing is active. Team reports and CSV files exported by coaches can exist outside WigWag; ask your team how it manages those copies.

Service providers. We use Clerk for authentication, Convex for application hosting and storage, Expo and Apple Push Notification service for notification delivery, and Vercel to host the website. These providers process information needed for their services. Notification systems process device tokens and pitch-call payloads; optional heart-rate readings use the application backend, rather than pitch push notifications.

We require service providers handling information for us to protect it consistently with this policy and applicable requirements, and to use it for the services they provide. Independent services you choose, such as your sign-in provider or Apple, also operate under their own privacy policies.

Other disclosures. We may disclose information when necessary to comply with law, protect people or the service, investigate misuse, or complete a business transfer subject to appropriate confidentiality and privacy protections. We do not make team or health information publicly searchable.

Retention and deletion

Account, team, and game records: these records remain available to support accounts, team operations, history, and reports until removed through available controls or a verified deletion request. They do not automatically disappear when a game ends. We may keep limited information where needed for legal obligations, security, or resolving disputes.

Heart-rate readings: during sharing, the active buffer holds up to 60 samples and is trimmed to a rolling five-minute window as new readings arrive. If no new reading arrives, the last buffer can remain stored until sharing is stopped or expires. The buffer is cleared when sharing is disabled, the player leaves, the session ends, or the sharing period expires, which is at most six hours after enabling it. These controls affect the active application record; deletion from infrastructure backups follows the provider’s backup lifecycle.

Device records and logs: receiver identifiers, notification registration, and delivery records can remain with session history. Security logs and backups may persist separately from active records for operational, recovery, or legal purposes. We do not promise that uninstalling the app erases server records.

You may request access, correction, or deletion using the contact details below. We may verify account ownership before acting, and will explain any information that must be retained. A request concerning another player must come from that player or someone authorized to act for them. Deleting information from WigWag does not remove copies previously exported by a team or data held independently by Apple or your sign-in provider.

Your choices

  • Control optional heart-rate sharing separately for each session and revoke Health permissions at any time.
  • Manage notification permissions in your device settings. Turning notifications off can limit call delivery while the app is in the background.
  • Leave a session or team using the available app controls. Leaving does not by itself erase historical records.
  • Clear your browser’s website storage to remove the saved theme preference.
  • Contact us to request access, correction, a copy, or deletion of personal information.

Depending on your location, additional rights may include objection, restriction, portability, withdrawal of consent, and a complaint to a privacy authority. We will handle applicable requests without discriminating against you for exercising those rights. Withdrawing permission does not undo processing that already occurred lawfully.

Players of all ages and children’s privacy

WigWag is designed for players of all ages with adult supervision. Minors need a parent or legal guardian’s permission to participate. Team owners and coaches must be at least 18. An adult-owned account or watch does not change whose personal information is collected.

Under-13 launch status: the parental notice, consent, and parent-control process for children under 13 is not yet available. That process must be completed before enabling under-13 participation involving personal information. Do not enroll children under 13 or collect their personal information through WigWag until it is available. This is a prelaunch implementation requirement, not a permanent 13+ age limit.

A child using the service may generate the device identifiers, connection information, pitch activity, and optional heart-rate data described in this policy. Adult supervision, coach authorization, an Apple device permission, or a general agreement to these terms does not by itself replace verifiable parental consent where required.

Parents or legal guardians may contact us to ask what personal information we hold about their child, request review or deletion, or ask us to stop further collection or use. We may verify identity and authority before disclosing information or carrying out a request. Do not send a child’s health records or identity documents in an initial email.

Coaches must have appropriate authority to provide player information and should use minimal labels where possible. Do not add unnecessary sensitive information in notes. If you believe a child’s information was collected without required authorization, contact us promptly so we can investigate and arrange appropriate removal.

Security and processing location

We use account authentication and team-based access controls to limit access to information. No network, device, or storage system can be guaranteed completely secure. Keep sign-in credentials and team invitations private, and report suspected unauthorized access.

Our infrastructure providers may process information outside your state or country. Where required, appropriate contractual and legal safeguards must apply to those transfers. Contact us for questions about processing or the safeguards applicable to your information.

Changes and contact

We may update this policy as WigWag changes. The updated date appears at the top. For material changes, we will provide additional notice or obtain consent where required.
